6 tips for picking a conference venue

Look for some of these things when seeking out a conference venue or hotel meeting room.

Selecting a correct venue for your next business, department or non-profits will take a little bit of time and effort. From understanding the nature of the meeting to choosing the right activities and events, it’s good to know in advance what you require from your Conference Venue.

To make sure you choose the right venue for your needs, consider some of these things before making a decision:

1. Determine the reason for the meeting

To make sure the location you select lines up with the nature of your meeting, it’s important to understand what kind of meeting is going to take place. Ask yourself the following questions:

  • Does the venue look after catering?
  • Will I need audio-visual equipment?
  • How many people can I expect will attend?

2. Activities and events to build relationships

It’s important to have a grasp on how many people will be attending the meeting and what type of activities and workshops will best build the team relationships so necessary during your short time together.  It’s the white spaces you leave between the meetings that give an opportunity to form spontaneous interactions and will later provide fruitful in your organization.  Examples of great group activities can tubing, rafting, golf, curling or a workshop with an interesting speaker.

3. Know which services are provided with the venue

No two conference rooms or meeting spaces are the same. They come in different sizes and offer different facilities and services at a variety of price points. If your attendees require access to Wi-Fi, for example, make sure the venue offers this service free and without limitations in both the meeting areas and guest rooms.

4. Find a location away from distractions

Ever been to a conference where everyone ran away as soon as the meeting ended?  One of the best ways to ensure your gathering extends beyond the boardroom is to find a slightly isolated location with preferably panoramic views, far away from distractions.  Try to stay within about an hour to an hour and a half of your city or local airport.  Nature like setting is far more conducive to clear thinking and after hour conversations.

5. Great customer service

Customer service is a big thing to look for when doing corporate event planning. A good venue will offer a well-organized system of booking all the needed details and make things run smoothly during the event. They should also be onsite or easy to reach if you have any questions and be willing to dash out to deal with last minute things if anything arises.

6. Lines of communication

One of the most important things you can do when choosing meeting rooms for your corporate event is making sure you are able to easily communicate with their event coordinator. Whether by email, phone or social media messengers it’s critical that you get timely replies and clearly communicated answers.
